Description
The All India Institute of Medical Sciences (AIIMS), New Delhi, has implemented a comprehensive social media policy outlining guidelines for students, resident doctors, faculty members, employees, and affiliated organisations regarding online conduct while representing the institute.
The new rules, issued through an official memorandum and approved by the competent authority, are effective immediately. The policy addresses the use of AIIMS branding, patient privacy, academic content, management of official social media accounts, and disciplinary measures for violations.
The initiative comes amid growing concerns over privacy breaches, misinformation, and unauthorized use of institutional identities on digital platforms.
Purpose Behind the New Guidelines
According to AIIMS, social media serves as an important medium for communication, outreach, and public engagement. However, the institute noted that unauthorized representation or misuse of its identity can result in reputational harm and legal complications.
The policy applies to undergraduate and postgraduate students, doctoral scholars, resident doctors, faculty members, researchers, administrative staff, student groups, departments, and even external collaborators who have access to institutional resources.
Restrictions on the Use of AIIMS Name and Logo
Under the new framework, individuals and organizations associated with AIIMS cannot use the institute’s name, logo, emblem, or branding elements without obtaining prior written permission from the concerned authority.
This restriction extends to:
Social media profiles appearing to represent AIIMS
Event posters and promotional materials
Instagram, Facebook, X, and other digital accounts
Videos, blogs, reels, and online campaigns
Any approved use of AIIMS branding must comply with official institutional guidelines.
Strong Focus on Patient Confidentiality
The policy places significant emphasis on protecting patient privacy.
Students and employees are prohibited from sharing patient information, medical records, photographs, videos, or case-related details on social media, even if personal identifiers have been removed.
AIIMS stated that these provisions align with existing legal and ethical requirements, including medical professional regulations and data protection laws.
Additionally, the guidelines prohibit:
Sharing copyrighted content without authorization
Posting defamatory or obscene material
Hate speech and discriminatory content
Online harassment, bullying, or ragging-related posts
Sharing Examination Material Not Allowed
To safeguard academic integrity, AIIMS has also banned the online circulation of confidential examination-related content.
The guidelines specifically prohibit:
Plagiarism
Sharing question papers
Publishing answer keys
Circulating confidential academic documents
The move reflects broader efforts by educational institutions to prevent unauthorized distribution of examination materials through digital platforms.
Rules for Official Social Media Accounts
The institute has established a formal framework for managing official social media accounts operated by departments, student organizations, or employees.
Under the policy:
Official accounts must be registered with the relevant department.
Administrators must provide institutional email IDs and contact information.
A designated media coordinator will oversee content approval.
Accounts should clearly identify whether content is generated by students or departments.
The guidelines also prohibit the publication of confidential information, political content, religious messaging, and defamatory material through official channels.
Any sponsored posts or collaborations with external organizations will require prior approval from the institute.
Disciplinary Action for Violations
AIIMS has warned that misuse of its name, branding, or social media platforms may result in disciplinary and legal action.
Possible penalties include:
Written warnings
Suspension of institutional privileges
Restriction of access to official platforms
Derecognition of student bodies
Exclusion from institutional activities and events
The institute has also reserved the right to monitor online content for compliance. In cases of violation, a takedown notice may be issued, and the content must be removed within the prescribed timeframe.
The new policy aims to ensure responsible use of social media while protecting the institution’s reputation, maintaining academic standards, and safeguarding patient confidentiality.
