The Institute of Chartered Accountants of India (ICAI) has launched a new digital system called the e-Diary to digitally record attendance and work details of articled trainees during their practical training period. As per the official announcement, maintaining the e-Diary will be compulsory for all CA students who begin their articleship on or after January 1, 2026.
The initiative has been rolled out by the ICAI Board of Studies (Operations) in collaboration with the Members and Student Services Directorate, reflecting ICAI’s move towards greater digital integration in professional education and training.
What is the ICAI e-Diary?
Officially named the Digital Practical Training Diary, the e-Diary allows articled trainees to log their daily attendance and record the nature of work performed in a structured online format. Once submitted, entries are recorded in real time and cannot be altered without approval.
The platform also displays stipend-related information, which is usually updated within two weeks of payment, offering transparency in financial records during articleship.
Purpose and Key Features
The digital diary has been introduced to standardise monitoring of practical training, improve transparency, and ensure compliance with ICAI’s training guidelines. It also helps track skill development and aligns the training experience with ICAI’s defined competency framework.
Trainees must submit details of the work performed every fortnight. The system automatically checks entries for completeness and highlights missing information. After submission, the entries are forwarded to the principal for review, who may recommend changes to the recorded tasks.
Trainees are required to revise and resubmit the entries within seven days of receiving feedback. The principal then has another seven days to approve the submission. If no action is taken within this time, the system automatically marks the entry as approved.
Access and System Integration
Articled trainees can access the e-Diary using their Self-Service Portal (SSP) login credentials. The platform enables users to view past submissions, edit or delete entries before final submission, and monitor approval status.
The e-Diary is also integrated with other ICAI systems. It is linked to Form 109 in case of termination of articleship and is aligned with ICAI’s existing training rules, ensuring consistency across academic and administrative records.
Advantages for CA Principals
ICAI has stated that the digital diary will also benefit CA principals supervising articled trainees. Principals will have real-time access to attendance data, trainee profiles, and detailed work records, supporting better mentoring and structured supervision.
The system generates analytical insights that help identify skill gaps, track performance trends, and ensure compliance with training norms. Features such as digital approvals, automated alerts, and MIS reports are expected to significantly reduce manual paperwork and simplify compliance management.
