About Career 

As a Business Clerk/ Clerical Assistant, your job will comprise a wide range of routine office administration tasks such as storing and keeping office files organized, maintaining sundry office records, receiving bills and invoices, record filing, maintaining data using computers or manually, etc.

You will also be responsible for coordinating with the accounts department for various payments, purchase office stationery and other stuff, coordinating the dispatch of documents and other packages, and assisting in the office pantry.

As a Business Clerk/ Clerical Assistant, you will be responsible for performing inventory-related tasks such as keeping inventory checks, keeping inventory records, managing incoming and outgoing supplies and products, etc. You will be involved in preparing documents, drafting emails/messages, answering phone calls, scheduling appointments, receiving office guests.

Key Roles and Responsibilities

As a Business Clerk/ Clerical Assistant, you will be engaged in all or some of the following key roles and responsibilities:

1. You will be keeping various office stationery, files, and office equipment organized and to help others work smoothly.

2. You will be filing and updating records containing valid and accurate information.

3. You will be required to make appointments, plan meetings/events/conferences and ensure that schedules are maintained.

4. You will be receiving guests at the office and make them comfortable.

5. You will be performing clerical duties such as organizing office documents, taking memos, maintaining office supplies, photocopying and scanning office documents, typing documents or drafts, etc.

6. You will be answering phone calls or emails and will be responding to customer queries.

7. You will be taking care of overseeing mail delivery, couriers, office packages, etc. i.e., the delivery or receipt is done on time or not.

8. You will make sure all office equipment such as computers, printers, scanners, photocopiers, AV presentation projectors, etc. are well maintained and are in operating condition whenever required.

9. You will be planning and arranging itineraries and executive correspondence.

10. You will be required to communicate and coordinate with all other departments to ensure compliance.

Career Entry Pathway 

Class 10 all subjects as per scheme of studies - ITI Certificate Course in Office Assistant/Similar course

After Class 10, you can apply for any ITI course in Office Assistant or any other similar course. Then you can get a job as a Business Clerk/ Clerical Assistant or as Clerk.

Class 10 all subjects as per scheme of studies – Class 11-12 with any subject combination as per scheme of studies – Certificate in Office Assistant cum Computer Operator/Diploma in Office Assistant/Similar course

After Class 12, you can apply for Office Assistant cum Computer Operator/Diploma in Office Assistant/Similar course. The duration of these courses is usually 6 to 12 months.

Class 10 all subjects as per scheme of studies - Obtain an NSQF Level 3 qualification in e Office Assistant

After Class 10, you may obtain an NSQF (National Skill Qualification Framework) Level 3 certification in eOffice Assistant or a similar course. This qualification is of 120 hours. After completing this course you may find job opportunities Office Assistant, Admin Assistant, where there is a requirement of people who can work with Computers. For this certification, you need to be 18 years of age and must have knowledge of Hindi or English.

Class 10 all subjects as per scheme of studies – Class 11-12 with any subject combination as per scheme of studies - Obtain an NSQF Level 3 qualification in Inventory Clerk

After Class 12, you may obtain NSQF level 3 qualification in Inventory Clerk or a similar course. This qualification is of 250 hours. For this certification, you need to be 18 years of age.

Class 10 all subjects as per scheme of studies – Class 11-12 with any subject combination as per scheme of studies – Get a job as an Office Assistant– Then get promoted as a Clerk/ Clerical Assistant

After Class 12, you can apply for a job as an Office Assistant where you will be working on some general administrative duties, and then after gaining a certain number of experiences; you may get promoted as a Clerk/Clerical Assistant.

Class 10 all subjects as per scheme of studies – Class 11-12 with any subject combination as per scheme of studies –Apply for any Bachelor’s degree

After Class 12, you may apply for any Bachelor’s degree such as B.A., BBA, and B.Com. or a similar course in Office Management/ Office Management & Secretarial Practice.

Class 10 all subjects as per scheme of studies – Class 11-12 with any subject combination as per scheme of studies – Obtain Diploma in Computer Application

After Class 12, you may obtain a Diploma in Computer Application or a similar course. The duration of this course is generally 6 to 12 months. After the course completion, you will get a job as a Clerical / Office Assistant/ Computer Operator/ or in any other similar position.

Class 10 all subjects as per scheme of studies – Class 11-12 with any subject combination as per scheme of studies – Diploma/Certificate in Secretarial Practice/ Stenography/ Office Management/ Similar courses

After Class 12, you may obtain any Diploma or Certification course in Secretarial Practice/ Stenography/ Office Management or a similar course. The duration of this course is generally 1 year. After the course completion, you will get a job as a Secretarial Assistant, Stenographer, or an Office Manager or in any other similar position.

Required Qualification & Competencies 

After completing Class 10, you may:

1. Apply for an ITI Certificate Course in Office Assistant/Similar course

2. Obtain an NSQF Level 3 qualification in e Office Assistant

Alternatively, if you have completed Class 12, then you may:

1. Apply for a certificate in Office Assistant cum Computer Operator/Diploma in Office Assistant/Similar course

2. Obtain an NSQF Level 3 qualification in Inventory Clerk

3. Apply for any Bachelor’s degree

4. Obtain Diploma in Computer Application

5. Apply for a Diploma/Certificate in Secretarial Practice/ Stenography/ Office Management/ Similar courses

6. Also, if you have completed Class 12, then also you may get job opportunities as an Office Assistant, and then may get promoted as a Clerk/Clerical Assistant.

Work Environment

As a Business Clerk/ Clerical Assistant, you have to work in a typical corporate environment. The working hours may range anywhere from 8-9 hours or more depending upon your job responsibility or project. You might be expected to work late nights and under pressure, especially while working on a new project, the closing of quarters, new project launch, etc.

SPECIALISATION TRACKS IN THIS CAREER

Information Clerk

You will be responsible for performing routine clerical duties. Routine Clerical duties include maintaining records; collecting data; preparing routine office correspondence, reports, claims, bills, or orders; and providing information to customers. They are also known as Secretaries or Administrative Assistants.

File Clerk

As a file clerk, you will be involved in maintaining electronic or paper records, enter and retrieve data, organize records, and file documents. You will be scanning and uploading documents if you are working for an organization that has an electronic filing system.

Inventory Clerk

As an Inventory Clerk, you will be involved in the process of managing incoming and outgoing supplies and products within the business. You will be responsible for stocking the product or ordering the raw materials (if required). You will also be responsible for receiving shipments on a loading dock.

Administrative Assistant

As an Administrative Assistant, you will be responsible for providing assistance for various kinds of’ administrative tasks done by your manager or senior. You will be performing various clerical duties such as Bookkeeping, Planning & Scheduling, Documentation, etc.

Secretarial Assistant

As a Secretarial Assistant, you will be responsible for various kinds of tasks such as implementing and maintaining office systems, preparing and managing correspondence, reporting and documenting, organizing and coordinating meetings, managing conferences, and travel arrangements, etc. You will be responsible for keeping all the records confidentially and will be maintaining the prestige of the organization.

CAREER GROWTH

You can start your career in Business Clerk/ Clerical Assistant with job positions such as Trainee, Junior Clerk, Assistant Clerk, Administrative Assistant and can grow as a Supervisor Clerk, Head Clerk, Executive Secretaries, and Executive Administrative Assistants, etc.

Alternatively, after gaining work experience and after obtaining advanced knowledge of computer applications such as word processing and spreadsheet software, you may find an advance level of job opportunities such as Office Manager, Assistant Manager, etc.

Salaries vary according to job profiles and the kind of facilities you get to work at.

1. In the entry-level jobs, you may earn anything between Rs. 5,000 - 15,000 per month.

2. Salaries increase with your work experience and as you get promoted.

3. In junior-level roles, you can expect to earn about Rs. 7,000 - 12,000 per month.

4. In the mid-level jobs, with 6-12 years of work experience, you can expect to earn about Rs. 10,000 - 30,000 per month.

5. In the senior-level jobs, with 12-15 years of work experience, you can expect to earn about Rs. 15,000 - 60,000 or even more per month.

Future Prospects 

According to a report by IBEF, India has emerged as the fastest growing economy in comparison to other countries. It is also expected to reach in the list of top three economic powers of the world over the next 10-15 years. According to the reports, the GDP stood at Rs. 33.16 lakh crore by showing a growth rate of 4.3%, during Q2 of 2019-2020. Also, with over 8,900 to 9,300 startups, India has retained its position as the third-largest startup base in the world. According to the NASSCOM reports around 1300 new startups were founded in 2019.

According to the ASSOCHAM and Thought Arbitrage Research Institute, the Labour Force of India is also expected to reach 160-170 million by 2020 keeping rate of population growth, increased labor force participation, and higher education enrolment, other factors in consideration.

As India’s economy continues to grow and thrive, these stats establish that the employment opportunities will also increase across all the sectors. So, the demand for various Clerical Assistants or Clerical or Administrative posts will be moderate in upcoming years.

However, it’s also expected that soon the demand for clerical Assistant or Business Clerk/ Clerical Assistant will slow down because of the rapid computerization and outsourcing of many clerical jobs by various public and private companies.
